Repository Policy
Repository Policy
Thoughts Review (TR) supports the broad dissemination and long-term accessibility of scholarly research. This policy sets out the rights of authors to deposit versions of their work in repositories, the conditions that apply, and the journal’s commitment to supporting authors in meeting institutional and funder open-access requirements.
This policy is aligned with the journal’s Open Access Policy, Licensing Policy, and Copyright Policy, and with the Principles of Transparency and Best Practice in Scholarly Publishing (COPE, DOAJ, OASPA, WAME). DOAJ identifies a repository (self-archiving) policy as best practice for open access journals, and this policy is published to meet that standard.
1. Purpose and Scope
This policy applies to all scholarly content published in Thoughts Review, including research articles, review articles, and other contributions. It governs:
i. The versions of a manuscript that authors may deposit in repositories.
ii. The locations where deposit is permitted.
iii. The conditions that apply to deposit.
iv. The relationship between repository deposit and the journal’s licensing and copyright arrangements.
2. Versions of the Manuscript Covered by This Policy
Thoughts Review permits authors to deposit the following versions of their work:
2.1 Preprint (Submitted Version)
The version of the manuscript submitted for consideration, before peer review. Authors may deposit the preprint at any time, including before and during submission. Posting a preprint does not affect consideration by the journal. Authors are asked to declare any existing preprint at the time of submission and, where possible, to link the preprint to the published article.
2.2 Accepted Manuscript (Author Accepted Manuscript / Postprint)
The final peer-reviewed version accepted for publication, before copy-editing and typesetting. Authors may deposit the accepted manuscript immediately upon acceptance, without embargo.
2.3 Version of Record (Published Version)
The final published version of the article, including the journal’s formatting, copy-editing, and pagination. Authors may deposit the Version of Record immediately upon publication, without embargo. This is consistent with the journal’s CC BY 4.0 licence, which permits unrestricted sharing and reuse of the published article with attribution.
3. No Embargo Period
Thoughts Review applies a zero-embargo repository policy. There is no waiting period for depositing any version of the manuscript. Authors may deposit the preprint, accepted manuscript, or Version of Record immediately, without seeking permission from the journal.
4. Permitted Locations for Deposit
Authors may deposit their work in, but are not limited to:
i. Institutional repositories of the author’s institution or employer.
ii. Subject-based or disciplinary repositories relevant to the field.
iii. Research funder repositories, where required by a funding agreement.
iv. Preprint servers, including discipline-specific or general preprint platforms.
v. Personal or institutional websites.
vi. Other non-commercial scholarly repositories of the author’s choice.
The journal does not restrict deposit to any particular platform. Authors are free to choose the repository that best meets their needs and those of their institution or funder.
5. Conditions for Deposit
When depositing the accepted manuscript or the Version of Record, authors should:
i. Provide full bibliographic information for the published article, including the journal title, volume, issue, and page numbers (where applicable).
ii. Include the DOI of the published article and a direct link to the article on the journal website, where available.
iii. Clearly acknowledge the original publication in Thoughts Review.
iv. Comply with the CC BY 4.0 licence that applies to the published article, including its attribution requirements.
Deposited copies should not imply that the repository version is the definitive published version. Where the Version of Record is deposited, it should be clearly identified as such.
6. Relationship with Copyright and Licensing
Authors retain copyright in their work, as set out in the journal’s Copyright Policy. The journal does not require authors to transfer copyright, and authors are free to deposit their work in repositories in accordance with this policy.
Published articles are licensed under the Creative Commons Attribution 4.0 International License (CC BY 4.0) . This licence permits the sharing, copying, distribution, and adaptation of the published article, including for commercial purposes, provided that proper attribution is given. The licence also supports repository deposit and long-term accessibility of the published content.
Authors are encouraged to ensure that the CC BY 4.0 licence and attribution information are retained and displayed when depositing the Version of Record in a repository.
7. Preprints and Journal Consideration
Posting a preprint before or during submission does not prejudice consideration of the manuscript by Thoughts Review. The journal does not require authors to remove preprints from preprint servers prior to submission.
Authors should:
§ Disclose the existence of any preprint at the time of submission.
§ Link the preprint to the published article where possible, to ensure that readers can locate the definitive version.
Preprints are not considered prior publication for the purposes of the journal’s originality requirements, provided they are disclosed and do not constitute redundant publication.
8. Digital Preservation and Long-Term Archiving
Thoughts Review is committed to the long-term preservation of its published content. In addition to author self-archiving, the journal maintains arrangements for digital preservation to ensure that content remains available in the event that the journal or publisher ceases operation.
The journal’s digital preservation arrangements may include participation in recognized archiving services and distributed preservation networks. Content is archived in multiple formats and locations to minimize the risk of loss. Indexing databases, abstracting services, and repositories are notified of corrections, retractions, and expressions of concern in accordance with the journal’s Corrections, Retractions and Expressions of Concern Policy.
9. Support for Funder and Institutional Requirements
This policy is intended to support authors in meeting the open-access requirements of their institutions and research funders. The CC BY 4.0 licence and the zero-embargo repository policy are compatible with the requirements of major funders, including those that mandate deposit of the accepted manuscript or Version of Record in a repository.
Authors who have specific funder or institutional requirements that are not addressed by this policy should contact the editorial office before submission to discuss compliance.
10. International Standards and Best Practices
This policy is developed in accordance with internationally recognized standards and informed by the recommendations of:
i. Directory of Open Access Journals (DOAJ) — a repository (self-archiving) policy is identified as best practice for open access journals, and DOAJ asks journals to publish a policy allowing authors to deposit versions of their work in a repository of their choice.
ii. Committee on Publication Ethics (COPE), Open Access Scholarly Publishing Association (OASPA), and World Association of Medical Editors (WAME) — Principles of Transparency and Best Practice in Scholarly Publishing.
iii. Creative Commons — CC BY 4.0 licence terms.
iv. Major indexing databases, including Scopus and Web of Science.
Thoughts Review follows the repository and self-archiving best practices recommended by these organizations to ensure responsible publishing, maximize the visibility and impact of published research, and protect the scholarly record.
11. Policy Review
Thoughts Review periodically reviews and updates this Repository Policy to ensure continued alignment with evolving standards of open access, self-archiving, and ethical publishing. The editorial team is responsible for implementing this policy consistently and for reviewing it when significant developments arise.
Any revisions to this policy will be published on the journal website.
